Team Rehabilitation has 140 DeNovo clinics across 5 states with over 700 therapists. They started out with a home-grown EMR, but CEO Nick Weber said that as they continued to grow, they simply outgrew it, which led to them switching to Prompt.
As Team Rehabilitation expanded into a multi-clinic operation, they needed a more robust solution that could scale with their business while maintaining operational efficiency across all their locations.
“We needed something more professional for the front and back end of our business,” Nick said, “After looking at all the major EMRs, Prompt was absolutely the best fit for us.

With over 700 therapists across their locations, Team Rehabilitation needed a way to streamline workflows and manage their high patient volume.
“Our therapists really like the speed and the ability to get through their notes really quickly,” Nick said. “They like being able to find out information about their patient all at the touch of a finger.”
And it’s not only seasoned clinicians who like taking notes on Prompt. “Our newer therapists are picking it up really easily, which makes their onboarding experience so much better,” Nick said.
Enhanced patient access
Team Rehabilitation’s clinicians aren’t the only ones who appreciate how easy Prompt is to use. “Our front office staff has a really easy time scheduling appointments, finding open slots, and filling them quickly,” Nick said. “So it works quite well for removing barriers for getting patients in the door.”
Patient access is something that Team Rehabilitation places a strong emphasis on. “Our goal is just to make sure we can get the patient in as quickly as possible and that the barriers there are little to none,” Nick said.
To achieve this, the front desk uses Prompt to schedule appointments and fill open slots more efficiently, creating a smoother experience for patients. New patients can book initial evaluations right from the website. And existing patients receive reminders to book more visits if they’re underscheduled, along with a link to easily book online right from the email or text.
“The online scheduling with Prompt Plus, being able to have access directly from our website, all of that has been a great addition for us and has made it easy for our patients to get access to our awesome therapists,” Nick said.
Scaling growth without needing to hire
Team Rehab has been growing year-over-year, opening new clinics in multiple states. But as they’ve done this, they haven’t needed to hire the same amount of FTE employees that they might once have.
“As we’ve grown, we haven’t had to add a scale of FTEs on the admin side at the rate that we normally would,” Nick said. “As we continue to find ways to automate our back-end, we’re redeploying those FTEs into higher brain power things.”
Anything they can automate on Prompt saves time for the administrative staff, allowing them to focus their time and energy into other, higher impact areas of the business.
Business intelligence and management
As a multi-site owner, Nick has to have visibility into every aspect of how each clinic is running. “The reporting structure and dashboards that Prompt provides are outstanding and really can help you make some quick decisions about what needs to be done,” Nick said.
Outside of the reports that Prompt offers, Nick said that the Prompt team has become a business partner for them as well.
“The biggest reason why we’re on Prompt is it’s a true partnership,” he said. “We have a good back and forth about what’s important to the business and Prompt has been able to give us some great tools for us to solve some of our problems.”
